Timing and Rush

01How long does it take?

Records are expected in about 72 hours to one week. That is an estimate, not a guarantee. The portal shows where the request stands.

02How does Rush work?

Select Rush on the request. It shows Rush quote pending while Sales prepares a quote, with a target of 4 business hours. Accept the quote in the portal and the pull starts as Rush, with a faster estimate; that estimate is not a guarantee. If you decline, or do not answer within 1 business day, the pull starts as Standard.

03What if a pull runs past the estimate?

The request shows Past estimate: we’re checking with the network; new estimate by a stated date. Questions: Info@MedFilesNow.com.

04Can I cancel a request?

Before the pull starts, yes. Once a pull starts it cannot be cancelled.

Records

05Do you contact providers?

No. We pull from an electronic data network of about 2,500 sources. We do not email, fax, or call providers, and we do not send paper requests.

06Why do you ask for a provider list?

For the audit only. We compare the providers you expect against the providers found in the returned records, and mark each Found in records or Not found in pull. The list does not change what is searched.

07Will I get all of the patient’s records?

Not guaranteed. Historically, pulls return roughly the high-80s to low-90s percent of a patient’s records. Some providers and record types are not in the network.

08Are paper-chart providers included?

No. Providers who keep paper charts instead of an electronic system are not reached and will not appear in the records.

09Do you deliver radiology images?

No. Image files (X-ray, CT, MRI, ultrasound) are not delivered. Written imaging reports may appear when they are in the electronic record.

10What is the Recap?

A concise synopsis of the patient’s history, typically a few pages: history, medications, allergies, surgical history, labs and vitals, and key encounters, with details traceable to the source records. It is a summary, not a medical opinion or diagnosis.

11How long are records kept?

Delivered records stay available to download in the portal for 30 days after delivery, then are deleted. Authorizations, audit logs, and billing records are kept for 6 years.

Requests, pricing, accounts

12What do I need to submit?

Patient identifiers, the date range, a signed authorization, and the providers you know about. Law firms may use a claim-specific authorization or a broad “At my request” authorization; insurers submit the applicant’s underwriting authorization. Requests based on a subpoena or court order go through a separate review.

13What if there is a problem?

The request is marked Needs attention. We tell you what is missing, for example an expiration date or a recipient, and the pull starts once a corrected authorization is uploaded. A pull that returns no records for the patient is marked No records found and is credited to your prepaid balance (not a cash refund).

14How do the price tiers work?

A pull is one patient’s authorized database pull for an agreed scope and date range. The tier is set by the number of pulls purchased together. The 100-pull plan is prepaid at $275 per pull ($27,500) and drawn down one pull per patient. The fee is earned when the allotment is set up. Prepaid pulls never expire and are non-refundable. A pull counts once at least one record is delivered; a pull that returns no records is credited to your prepaid balance (not a cash refund). For more than 100 pulls, email Sales@MedFilesNow.com for a quote.

15Do you sign a BAA?

Yes. A BAA is available. You review and sign the service agreement and BAA in the portal after your account is created.

16Can my whole team use the account?

Yes. The primary administrator adds users in the portal. Every user has an individual login; access can be removed at any time.
